The process starts with an initial discussion about your business requirements. If it is determined there
is a possible fit for the technology, we will start with obtaining some sample documents from you that
we can use to create a demo of the system using your documents. If it’s mutually agreed that the
solution can meet your needs, we then look to engage with a small Requirements Gathering exercise
that will involve review of more documents and going deeper into the specifics of your application.

There are two main types of documents – transaction related documents such as Accounts Payable
invoices are common and often a starting point. Then there are contractual or more static types of
documents such as legal contracts. The transaction related documents – those that are a part of a
defined workflow chain are some of the best documents for Robotic Process Automation.
Any document with a signature is also a good bet to be a target for automation.

The main consideration is the amount of manual or human time that’s required to process the
document. The more steps, the more you can benefit from automating the process.
Value to the business is also important. It could be low volume, but with a lot of exposure to the
business, so it makes sense to automate the process.

The short answer is, it depends. The longer answer is it depends on the quality of the source documents
being put into the OCR software system. For high quality documents, the recognition rate can be between 95% and
99%. For harder to read but legible documents, 80% is usually seen. For very hard to read documents,
the rate can be 50% or less. We always do an initial test of a sample of your documents (free of charge)
to determine the quality level, as this is an important aspect of the entire solution.

A Cloud implementation is a subscription based service that requires minimal capital outlay. You pay
base costs for accessing the Cloud servers, and then a cost per page processed. The cost per page is
variable – the more pages processed the lower the cost per page. Subscriptions can be done annually,
quarterly or monthly.

Yes. Some customers elect to own the software and manage it themselves. The pricing structure is
different in these instances, but you have the flexibility to deploy the solution on the platform of your
choice.

While there are many options, you can start small and grow your paper automation footprint as you go,
or you can do a complete implementation at the start. With a Cloud implementation, services are
usually faster to complete and therefore less costly than before. Since Cloud implementations are
subscription based, you don’t have large up front costs, but pay for usage as you go. We have smaller
clients that have started out in the $5K- $7K range, and larger implementations that can be$20K- $50K
or more.

Yes. End user training is a part of every project, and typically no more than a couple of hours is required
to understand how to run the application. We can provide the on-going administration, some
customers have an in-house person assigned to the system.

We take document security very seriously. Besides login authentication, we have an encryption layer
that protects the documents. We also have a full audit trail to monitor the access and history of any
document. We provide backups of both our system and your data, to assure maximum uptime.
